Effective Ways To Welcome Your New Tenants

Once you have successfully checked your current rents are reasonable with the local rental market, marketed your propertyscreened applicants, and chosen the right tenant, it is time to welcome the new tenant to the rental property. When new tenants are moving in, you can do a few things to help welcome them and set the right tone for your future relationship. The better the communication level between yourself and your tenants, the better chance of keeping a happy tenant long term. The start of your relationship also allows you to set the tone for expectations going forward.

Effective Ways to Welcome Your New Tenants

Provide Keys & Useful Information

When new tenants are moving in, you will want to provide them with the keys to the home as well as useful information. Ideally, be there to greet them and provide them with the keys and information. Some valuable information to present to them on their first day includes:

• Emergency Contact Sheet: Give your new tenants a sheet with all the emergency contact info they will need. Include who they should contact for general maintenance, who to call if there is a plumbing emergency, and what to do if they cannot get ahold of the first point of contact. For example, if you want tenants to call you for plumbing emergencies, provide the best way to reach you and your local plumber if tenants cannot contact you. 

• Move-In Checklist: Provide your tenants with a move-in checklist. Part of this list should include doing a walkthrough of the property. This allows you both to record any damages already existing and to note any items that might need to be addressed right away. Other items on your checklist might include having the tenants provide you with the best way to contact them, getting emergency contact information from them, and discussing how they will be paying you.

•  Walkthrough Sheet: As stated above, you should do a walk through with your tenants when they first move in. Be sure you both sign off on the condition report and that you each have a copy of the report.

•  Miscellaneous Useful Information: Depending on the property and what you want to provide your new tenants, you can also use this time to give them other useful information. For example, you could provide them with the name of a recommended landscaper if they will be in charge of yard work. You could provide them with some takeout menus to local restaurants, a copy of the local bus map, and a map for local biking trails. Tailor this to your specific situation.

Leave A Welcome Basket

If you want to start your relationship off on a great foot, leave your tenants a welcome basket. This can be a simple gesture and doesn't need to be extravagant. A small welcome gift will help your tenants feel valued and can go a long way in keeping them happy during the move-in process.

Some items you could incorporate into the welcome basket include the following:

• Cleaning Supplies: While this may not seem like a glamorous gift, cleaning supplies are handy for tenants as they move in, and they send the message that you expect the home to be kept tidy.

• Basic Items: When tenants are moving in, they will likely be scrambling for some of the basics. Leave some rolls of toilet paper, paper towels, hand soap, and other simple essentials. These items are not expensive and will mean a lot to tenants as they unload.

• A Pet Gift: If your new tenant has a pet, you can include a small treat or gift for the pet. This added gesture shows you care and that you are keeping tabs on what animals are in the home.

• Local Information: A welcome basket is a great place to include some helpful information about the area. Trail maps, park information, city information, and any valuable info about the area can help them settle into their new home.

• Bonus Gift: If you want to add an extra touch of kindness to your welcome basket, you could include a bonus gift. This could be a gift card to a local restaurant or a locally made food item. The sky's the limit.

Remember, starting the relationship on a positive and professional foot can go a long way towards tenant happiness. A long-term tenant who pays on time and takes good care of your property will provide you a phenomenal return on investment. Keep tenants happy from the start and carry on this relationship throughout the future.
